General Terms:
- 30-minute initial 'face to face' consultations and quotations are free if you live/work within a 10-mile radius of DE55 6FB. If you are outside of this area then they can be carried out by email, telephone, Zoom or Teams.
- A signed contract is required before commencement of work. This indicates client’s acceptance of my terms and conditions.
- I will acknowledge all work within 2 hours during business hours of Monday to Thursday 9am to 5pm excluding bank holidays. If you haven’t received an acknowledgement, please call and check I have received the files.
- I reserve the right to reject any work, including work which we believe to be unlawful or immoral.
- All charges will be reviewed on 1st April of each year and clients will be notified of any new charges in writing.
- Please note that I only work with UK based clients due to insurance reasons.
The Work:
- All work carried out by me will be proof-read, however final proof-reading of the work lies with the client.
- Any errors or changes identified within the clients final proofread will need to be raised within 2 working days of receipt and will be corrected by me free of charge. After 2 working days it shall be deemed that the work has been accepted as free of changes, errors and omissions and I will accept no liability or loss arising from the performance of any services carried out under the agreement.
- Changes, errors or omissions reported after 2 working days will still be corrected but the additional time spent will be charged to client.
- Any errors made by me will be corrected free of charge and to a timescale agreed with the client.
- It is the client’s responsibility to ensure that all work submitted to me is correct and legible.
- I offer a free 30-minute consultation on projects/tasks up to the point that the client contract is signed and work is handed over. All other meetings, phone calls and emails will be charged at the hourly rate rounded to the nearest minute.
- Any new work/projects requested or requiring quotation by the same client within the same timeframe will also be considered as free consultation until work, quotation, timescale and delivery date has been agreed.
- All work should be sent via email to info@misskantoor.co.uk or should be sent via USB or other via recorded delivery or courier to the address: Hillside, Main Road, Stretton, Derbyshire, DE55 6FB.
- Work should be briefed in either one-to-one phone consultation and/or via email. All required passwords, templates, supporting information should be submitted along with the work via email or post.
- Working hours and days of work are negotiable dependent on the project/task and will be agreed upon prior to signing contracts.
- File formats accepted include Microsoft Word, PowerPoint, Excel, Canva, Adobe Creative Suite file formats including InDesign, Illustrator and PDF etc. Please request a specific list of file formats accepted during contract signing.
- If there are large files to be sent or transferred, please state prior to contract signing so that an appropriate method of receiving those files can be arranged.
- All original work will be returned to clients as soon as work is completed, unless otherwise requested.
- All work will be kept on file for a period of 12 months. After this time, work will be deleted unless specifically instructed.
- I have full antivirus software but it is important that all clients retain responsibility for ensuring their own virus protection is up to date.
- I use antivirus protection and all incoming emails/documents will be scanned, I reserve the right to delete any unsolicited attachments or mail which is a cause for concern from an unrecognised sender or has a questionable/missing subject heading.
- I do not accept liability or responsibility for the end use of any documents or materials produced or edited by me on behalf of the client.
Payment Terms:
- Pricing is set and rates are non-negotiable.
- Packages must be paid for in advance. Thereafter, a package will be valid for 4 weeks from the date of the first request for services. The first request for services must be made within 2 weeks of the date of payment.
- Pre-paid Package hours will not be carried over or “banked”, they are considered unused and are deemed non-refundable.
- Payments can be made by bank transfer.
- A fee of £20 will be charged for any returned cheques.
- Billed time will be rounded to the nearest minute and time taken for tasks will be itemised on your Toggle timesheet submitted with the invoice.
- A minimum time limit of 30 minutes is set for all Pay As You Go work.
- Any extra work or materials that are required over the original tender will be subject to an extra charge.
- Travel expenses incurred will be charged at 45p per mile from postcode DE55 6FB.
- Clients will be invoiced within 7 days of signed and accepted completion of the project or task.
- I require full payment and cleared funds of invoiced services within 7 days of your invoice date unless otherwise agreed in advance.
- If an invoice is unpaid I reserve the right to halt services (including phone services) and return all work which will be suspended until payment is received.
- Overdue invoices may result in interest charges (at the rate of 8% over bank of England base rate) as per rights given to small businesses by the "Late Payment of Commercial Debts (Interest) Act 1998 for the total balance outstanding per month.
- Any and all costs incurred for chasing and/or recovering the outstanding payment will be added to account and are subject to interest.
- Any additional costs incurred for example, postage, courier, will be invoiced separately to the client as ‘Additional Expenses’, the client will be informed of these charges at the point of quotation or as the need arises during the project and will be itemised on the invoice.
- Any non-standard office supplies are not included in my hourly rates and will be billed separately.
- Bulk printing will be outsourced and charged at cost (over 25 copies) and will be billed separately.
- In the event of work being cancelled/terminated, the client agrees to pay for all work completed up to that point.
- For contract clients, one months’ notice of contract termination is required prior to ceasing our agreement, I will also provide one months’ notice should I desire to terminate the contract.
Confidentiality & Data Protection:
- All information and data will be treated in the strictest of confidence.
- If required by a client, I will happily sign any non-disclosure or confidentiality agreement as deemed necessary by the client and appropriate by me.
- No information will be made available to any third party.
- I will not use any information held or received by the client for personal benefit and will not at any time, directly or indirectly, divulge or disclose any information that is the property of the client.
- Your information is held securely and backed up in accordance with Data Protection Laws.
- I use secure email and ISO 27001 compliant cloud storage so that no client data is stored on individual machines.
