The Hidden Cost of Doing Your Own Admin

Running a small business often means wearing every hat going.

You are the boss, the marketing department, customer service, accounts, social media manager and admin assistant all rolled into one. At the start it feels normal. You tell yourself it is part of building the business.

But after a while something starts to creep in.

The evenings get longer. The inbox never empties. The to-do list grows instead of shrinking.

I see it all the time.

Over the years working as a Virtual Assistant, I have supported businesses in all sorts of industries. Trades, healthcare, manufacturing, retail, charities, consultants. Different sectors, but the same problem crops up again and again.

Business owners doing everything themselves.

At first it makes sense. When you start out, you watch every penny and you think, “I’ll just do it myself.”

And for a while, that works.

But the real cost of doing all your own admin often shows up later.

Not in money, but in time, energy and missed opportunities.

I have lost count of the number of conversations I have had with business owners who say something along the lines of, “I spent half my day answering emails and chasing paperwork and I didn’t get near the work I actually needed to do.”

It is frustrating. You feel busy all day but by the evening you wonder what you actually achieved.

Admin has a funny way of creeping into every spare corner of your day.

Answering emails.
Sending invoices.
Updating spreadsheets.
Posting on social media.
Booking meetings.

Each task on its own looks small. Five minutes here, ten minutes there.

A simple exercise I often suggest is tracking your time for a few days.

Nothing complicated. Just jot down what you are doing throughout the day.

You might be surprised at the results.

Many business owners discover they are spending several hours a day on tasks that could easily be delegated or streamlined.

Another helpful step is identifying repeat tasks.

Things like:

Weekly social media posts
Email newsletters
Booking appointments
Updating spreadsheets
Preparing reports
Customer follow ups

If something happens every week or every month, it usually means there is a better way to organise it.

Sometimes that means creating a simple system.

Sometimes it means handing the task over to someone who can manage it for you.

And sometimes it simply means giving yourself permission to stop doing everything alone.
